About the Role

Reporting to the Regional Operations Manager (ROM), the Operations Coordinator serves the needs of G Adventures internal and external customers.

Duties will include working with suppliers and their reservations teams, communicating clearly and efficiently with Tour Leaders (CEO’s), suppliers, and travellers, and supporting the Regional Operations Manager to ensure accuracy of product and the flow of operations.

What You'll be Doing :

Multi-Brand

  • Brand and Region Agnostic (May be required to work across multiple regions / brands)
  • Assist in ensuring the G Adventures brand and other client brands are properly represented throughout the region.
  • Financial

  • Assess and communicate cancellation fees to Base Camp Operations.
  • Collaboration with the buying team and negotiation with suppliers.
  • Assist with validations to facilitate vendor reservations. This includes on-tour and post tour changes where modifications to the system are needed so that invoices match the system when received.
  • Commercial

  • Support the Global Sales and Brand teams in information-gathering and logistics related to travellers before arrival.
  • Support product review and new product development.
  • Traveler

  • Support the Customer Solutions team for on-tour and post-tour issues, investigating, collaborating and communicating with the stakeholders to manage situations as effectively as possible and bring them to resolution.
  • Monitor incident reports as they come in, communicate with the CEO Manager, and Regional Operations Manager as necessary to determine if follow up is needed.
  • Communicate with appropriate individuals to assist in issues resolution.
  • Coordinate with the ROM regarding logistical tour changes, and keep the CEOs and providers informed.
  • Other

  • Monitor shared email accounts as requested.
  • Answer phones and emails in a prompt and polite manner.
  • Other duties as assigned by Regional Ops Manager
  • Required Skills and Experience :

    Must Have :

  • Computer skills : Microsoft Word, Excel and additional programs
  • Highly proficient in English both written and spoken
  • Customer service, problem solving & complaint resolution skills
  • Good listening and decision-making skills
  • Team player, self- motivated and goal oriented
  • Excellent telephone etiquette
  • Time management, flexible, attention to detail
  • Nice to Have :

  • Vocational Qualification related to Travel & Tourism / Business
  • Familiarity with Regional Geography and G Adventures product in the region
  • Familiarity with Travel Industry Practices an
  • Presentation skills
