Check voicemail / email messages
Take messages and answer phones
Prepare group agreements
Review No Show list daily
Daily mail, sort, distribute / copy
Individual reservation requests
SA / VIP / Amenity requests
Credit and billing procedures
Handle & coordinate site inspections
Delphi merge (contracts, letters, proposals, etc.)
Delphi key operator responsibilities
PR responsibilities as assigned by PR Manager Service group or road show needs
Prepare meeting planner kits Attend and participate in sales meetings to enhance communication Liaison with Worldwide sales office in sales manager absence
Assist with corporate sales trip preparation.
Support and respond to sales manager inquiries when sales manager is away Assist with any projects assigned by Director of Sales & Marketing.
Comply with Four Seasons standards for sales and marketing, while working harmoniously and professionally with co-workers and management.
Comply with Four Seasons Category One and Two Work Rules and Standards of Conduct as set forth in EmPact.
Maintain a clean, neat and organized work area and file storage system. Participate in the hotel’s green initiative.
NON-ESSENTIAL FUNCTIONS :
Periodically assist with front of house operations including greeting and directing guests, manning hospitality desks, and working with Banquets on quick sets’ or teardowns.
Help develop and train on new sales procedures such as the Inquiry System, Meeting Broker, Delphi, etc.
