Purpose & Overall Relevance for the Organisation :
To support the smooth operation of all F&S tasks / projects and to ensure that all Reception duties are fulfilled in a professional and efficient manner.
Key Responsibilities may include :
Handle the switchboard and transfer of all incoming calls.
Oversee all incoming and outgoing couriers, distribution of the same through the F&S Helpers.
Ensure high level of hospitality to all guests (customers) according to our adidas culture.
Support office events. Introduce a WellBeing program on / off site.
Maintain a relation between building management and internal Facilities.
Supervise office renovation and space management in coordination with relevant teams.
Provide assistance on setup of meeting rooms for internal & external meetings and trainings.
Support all topics around company Fleet Management.
Drive the issuing of all security access cards for new joiners. Timely activation and deactivation. Maintain a data base.
Overlook office cleaning and technical maintenance / repairs as per adidas standard and as per COVID guidelines in coordination with F&S Helpers.
Reports to be received & database to be maintained as per global requirements.
Coordinate the purchase of office supplies and services as and when required for back office.
Run & Manage tenders for service provider selections, to be cost efficient.
Implement a robust Sustainability / Green Company process in the office.
Support Global on the SPHERA platform update.
Arrange relevant H&S training-First Aider, Fire Safety and Fire Warden-as per local & Global guidelines. Be an active part of the MENA H&S committee.
Requisite Education and Experience :
Strong process understanding of administrative work relevant processes
Multi-tasking and Time Management skills
Good English knowledge withstrong communication skills - only English cv's will be reviewed
Good IT Skills (e.g. Microsoft Word and PowerPoint,)
Minimum of 5 years working experience in the respective area
Ability to work with a wide cross section of people
