The Procurement & Facility Manager isresponsible for leveraging the purchasing power of the entire organisationthrough all functions to produce cost savings through standardisation ofspecifications and bulk purchasing.

Develops and oversees the sourcingstrategies, industry and supplier research, bidding, supplier selection andcontract negotiations.

Creates and promotes efficient and effective procurementpractices and processes using continuous improvement methodologies and byleveraging technology.

Quantifies and projects amount of materials and suppliesneeded company-wide by combining information from multiple groups and worksclosely with head of departments.

And being responsible for the day-to-dayimplementation of policies, and procedures that will assure a well-maintainedfacility.

We are looking for an innovative Procurement & facility manager to leadthe purchasing process from selecting suppliers to ensure stock optimisation aswell as provide guidance on sourcing and procurement processes within ourorganisation.

Procurement Management :

  • Negotiate with suppliers andvendors to secure advantageous terms.
  • Develop procurement strategiesthat are inventive and cost-effective. Sourcing and engaging reliable suppliersand vendors.
  • Review existing contracts withsuppliers and vendors to ensure on-going feasibility.
  • Track and report keyfunctional metrics to reduce expenses and improve effectiveness.
  • Prepare procurement reports.
  • Approving Purchase orders andconfirming delivery of goods and services
  • Collaborate with key personsto ensure clarity of the specifications and expectations of the company.
  • Perform risk management forsupply contracts and agreements and implementing the Vendor Risk Framework
  • Control the procurement budgetand promote a culture of long-term savings on procurement costs.
  • Prepare the Annual procurementplan as per the annual budget
  • Monitor and update relevantdepartments regarding price fluctuations of goods and vendor pricing.
  • Work closely with FinanceDepartment to ensure contract terms are favorable to the company.
  • Expect unfavorable eventsthrough analysis of data and prepare control strategies.
  • Implement new processes andimprove existing ones.
  • Implement supplier orthird-party management software.
  • Track all the companyrequirements on the supply of goods and services
  • Facility Management :

  • Design, plan and manage allaspects of the facilities function, which may include but is not limited tomaintenance, equipment, floors space allocation and layout, officeservices, leased properties and furnishings, and floors security
  • Plan, budget and schedulefacility modifications and moves, including cost estimates, bid sheets,layouts, and contracts for rental / acquisition
  • Maintaining and buildingrelationship with operational managers and catering their needs in terms of infrastructureand logistics.
  • Demand management (facilitiesand logistics) in coordination with operational managers and procurement team.
  • Keeping track and maintaininginventory.
  • Ensure all interior spacerequirements, Floor layout / footprints, architectural elements, corporateenvironments demand, aesthetics, department work requirements and HVAC(Heating, Ventilating, Air Conditioning) needs are consistently met andmaximized
  • Ensure projects are completedwithin time and budget specifications
  • Maintain knowledge of currentand emerging trends in technologies, techniques and approaches in spaceplanning and allocation, and space optimisation methodology.
  • Establish and enforce health, safety,security, and emergency guidelines.
  • Ensure that facilitymaintenance requirements are consistently met.
  • Promptly respond to facilitiesrelated issues and ensure effective resolution.
  • Keep apprised of currentregulations in order to effectively address and ensure compliance with localrequirement
  • Key skills :

  • Between 7 to 10 years of experience in international supply chain management, procurement middle office operations and facilitiesmanagement.
  • Management and Leadershipskills
  • Experience in handling ERP’slike PeopleSoft / SAP
  • Bachelor / Masters in BusinessAdministration
  • Excellent Customer ServiceSkills
  • Good knowledge of supplier orthird-party management software
  • Experience in collecting andanalyzing data
  • Strong understanding ofprocurement and negotiation techniques
  • Excellent English verbal and written communicationskills,
  • Strong negotiation andconflict resolution skills
  • Autonomy, reactivity,flexibility, dynamism
  • Good interpersonal skills,team spirit and sense of service
