We are looking for a dynamic and enthusiastic Office Manager who will be responsible for all general administration tasks including but not limited to procurement, managing travel protocol and maintaining company assets in Maersk Morocco for our 3 offices (Casablanca, Agadir and Tangier).

Key responsibilities

Handle all requests for quotations (RFQs) for all administration related costs, evaluate the offers and send recommendations to the approving manager.

Ensure all goods (or services) are delivered to the satisfaction of the original requestor and invoices received as per quote.

Maintain up to date vendor contracts with a clear service level agreement (SLA) for frequent vendors (a periodic performance review should be done on key vendors).

Arrange flights and accommodation for staff travelling to / from Morocco where necessary.

Arrange pick up and drop off at the airport and for visitors transfers from hotel to office and vice versa.

Arrange for visa and work permits for Morocco staff and visitors where applicable.

Follow up on maintenance, repair and replacement of key office assets (Excluding IT) with no or minimal service disruption.

Organize key staff events.

Manage 3rd party staff who offer support services for instance, cleaners, drivers and guards.

Ensure the office environment is well taken care of, clean and all facilities are in good working order.

Vetting and management of office visitors. Ensure all visitors are handled well and directed to their respective hosts.

We are looking for

Sense of urgency, result oriented and with an ability to handle multiple tasks simultaneously.

A structured and well organized person with the ability to schedule tasks in an efficient manner with minimal room for error or oversight.

Ability to gain respect and confidence from internal and external stakeholders; and use this to advocate the priorities in business and thereby drive improvements.

Minimum 2 years of similar experience in a busy environment.

Excellent people management and collaboration skills.

Ability to multi-task at a high level

People person with excellent communication skills.

Self-motivated and result oriented.

Fluent spoken and written English and French
